THE PRICING FIELD GUIDE

A routine visit still has real costs.

Build maintenance quotes around the work, travel, equipment and disposal each visit requires. Compare recurring offers only when the scope is comparable.

Include equipment and disposal

Allocate equipment wear, insurance and other shared costs to overhead. Add job-specific supplies and disposal costs once; avoid counting the same expense in two fields.

Pay for travel and coordination

Driving, access arrangements, photos and customer follow-up take time. Include them even when the on-site job seems short.

Review seasonal changes

A routine visit can become a different job after heavy growth, weather or additional requests. Adjust the scope and quote instead of assuming constant effort.

WORKED EXAMPLE

See where the price comes from.

2.5 hours on site + 30 minutes travel + 20 minutes admin = 3.33 paid hours. At $35 per hour, plus $20 supplies, $12 vehicle costs and $18 overhead, cost is about $166.67. With a 20% margin and 3% fee, the floor is about $216.46 when rounded up. At a $230 quote with a 5% recurring discount, the offer is $218.50. Only apply the preset 10% on-site time saving if you expect to achieve it.

Use your own figures. These estimates are in USD, before taxes. Add any fixed payment fee to costs. Round a minimum quote up rather than below your calculated floor.

Can this set my local market rate?

No. It estimates a floor from your costs and desired margin. Compare that result with your scope, positioning and customer demand; the examples are not market-rate research.
